In this article, you will find two separate methods to migrate Microsoft 365 to G Suite (now Google Workspace). These two methods are:
- DMS i.e., Data Migration Service
- Third-party Tool
First, let us start with the DMS method.
Data Migration service is a built-in feature of Google. If you have Google Suite account, DMS is essentially a free method for you. The process involved is easy but will consume a lot of time since the data is generally in large amount.
If you have less than 5 people data to migrate, you can go with the DMS. However, for a rather high number this will be a very time-consuming task. You should be able to move emails/contacts from Microsoft 365 to
G Suite. But it will move only one particular data type at one time. Considering this fact, to move emails and contacts for 5 people, 10 instances of DMS needs to be used. Thus making it an annoying approach.
You also have the choice to opt for a third-party migration tool. We strongly advise you to not be in a rush while choosing such a tool and take a look at multiple potential software programs. You can go for our recommended program to migrate Office 365 to Google Workspace easily with simple steps. With this program, you can migrate emails, contacts, calendars and documents all at once from Microsoft 365 to G Suite.
Anyhow, in this article, we will focus on migrating emails using DMS. So, let us start.
Migrate Microsoft 365 to G Suite Using Data Migration Service
At this point, we’ll assume by default that you’ve already created the target G Suite account. Let’s begin!
Step 1. Configure the roles for your Office 365 account
This step needs to be carried out before the actual migration. During data migration, you need to provide credentials from your Office 365 account to the Google Data Migration Service. There are some new roles that must be assigned to your O365 account for DMS to work. These roles are:
- ApplicationImpersonation
- ViewOnly configuration
How to do it:
1 – Log into your Office account.
2 – Go to the management panel. In the desktop version, go to Applications and click on Security & Compliance. In the web version, click Exchange.
3 – Go to the Permissions section.
4 – In the administrator role lock, click +. In the new window, fill in the “Name” field, go to “Roles” and press + again. Select the role – ViewOnly-Configuration and click “Add“, then repeat the same for the other role – ApplicationImpersonation.
5 – Click Save.
6 – Next, go to the User Roles block. Click + and add your account.
7 – You don’t need to do this for all accounts you want to migrate data from, only for the accounts that G Suite will use to connect to Office 365.
8 – Please note that the process may take some time to take effect. Wait 10 to 20 minutes, then you can proceed with the migration.

Step 2. Migrate Office 365 Emails to G Suite
So let’s get started with Microsoft 365 to G Suite email migration.
1 – Open the Google management console. Go to Data migration.
2 – Select Email.
3 – Choose Microsoft Office 365 in the Migration source field.
4 – Select Exchange Web Services in the Connection Agreement field. A new field will appear where you need to enter the URL of the Outlook account you want to migrate.
5 – Go to the Role account field and type the e-mail address and password of the role account on the mail server.
6 – Press Connect.
7 – On the next page, you need to select a date range and specific email folder to copy. Select the right option according to your requirements.
8 – Press to select the user.
9 – On the new page, you need to specify the source account from which you want to transfer the data and the destination account to which you want to move the data.
10 – Click Start.
It will take some time before you can see the movement of the percentage bar in the Status column. The time it takes to migrate Microsoft 365 to G Suite depends on the number of emails. For example, it may take an hour to move 2000 e-mail messages. If you have thousands of emails to migrate from different users, be patient and focus on other things before waiting for the migration to complete.
